Presenter Guidelines: Posters and Talks
Poster guidelines
- The posters have to be printed in maximum A0 size (84.1 cm x 118.9 cm) with portrait orientation.
- Posters will be displayed both days. For the poster presentation session on Tuesday 30th September, presenters need to be available at their poster.
- It is allowed to distribute maximum A4 sized papers at your poster (and put them on the ground for pick-up).
- Presenters are invited to print their poster themselves and bring them to the venue. Materials will be provided to attach the poster to the poster board (and can be picked up at welcome desk).
- Posters can be put up before the Summit starts on Monday 29th between 8AM and 9PM or during the coffee breaks on Monday 29th. Posters should be taken down on Wednesday 1st October during lunch time. After lunch, all panels will be removed and any remaining poster will not be kept safe.
- Posters must be fixed to the panel designated with the Submission ID corresponding to your abstract. Your Submission ID can be found in the confirmation email of your abstract acceptance.
Guidelines for oral presenters
Oral presenters need to upload their presentation to these locations:

Please include your abstract ID and last name of the presenter in the file name.
Deadline: Monday 22nd September, 8PM CEST.
In case they do not want to share your PPT on a publicly accessible shared folder, you have the following options:
a. Email your presentation to isos16-2025@laurea.be (before Friday 19th September)
b. or bring it on site and hand it on a USB device at the Welcome desk to the person that manages the presentations.
- Oral presenters get 12 minutes (accepted abstracts) or 25 min (invited speakers) for their talk, followed by a 3 minutes question and answer session facilitated by the session chair.
- Oral presenters need to be available in the plenary room, from the start of the session until the end.
- The chair of the session will call the names of the presenter. Please be ready in one of the front rows to make your arrival on stage as smooth as possible.
- Oral presenters will find a clicker on the lecterns that they can use to move their slides. Please leave the clicker on the lectern when leaving (!)
- The presentation you shared will be available on the screen and you can immediately start your talk.
- Oral presenters should speak clearly and directly in the microphone – please adjust your position/the position of the microphone as needed.
